Information we collect

We may collect account and identity details such as name, work email, employer, employee number, role, authentication identifiers, and assigned permissions. We also process contact and training requests, subscription and billing references, support communications, security and audit events, and the project, SPC, OEE, production, quality, maintenance, report, and training records customers choose to enter.

Payment card details are handled by our payment provider and are not stored in EQS-AI application records.

Why we use information

We use information to authenticate users; provide tenant-scoped software and training; administer roles, subscriptions, support, and security; generate customer-requested reports and AI-assisted outputs; improve reliability; prevent misuse; and meet contractual, accounting, and legal obligations.

Service providers and subprocessors

EQS may use Netlify for hosting and server functions, Supabase for authentication and database services, Stripe for billing, Resend for transactional email, and OpenAI for AI features enabled by an authorized customer. Providers receive only the information needed for their service and are governed by their own contractual and security commitments.

Retention

Workspace records are retained for the customer subscription term and a limited period needed for export, recovery, dispute handling, or legal obligations. Contact and training requests are normally retained for up to 24 months, security and access logs for up to 12 months, and billing or transaction records for the period required by applicable accounting and tax rules. Customers may establish shorter operational retention requirements by written agreement.

Customer controls and individual rights

Depending on applicable law, individuals may request access, correction, deletion, restriction, objection, portability, or withdrawal of consent. Company administrators control workspace membership and customer-entered records. Requests can be sent to support@engineeredqualitysolutions.com; EQS may need to verify identity and company authority before acting.

Security and tenant separation

EQS uses encrypted HTTPS connections, authenticated access, role controls, row-level security, audit records, security headers, and operational monitoring. No internet service can guarantee absolute security. Customers are responsible for authorized-user management, accurate role assignment, and avoiding unnecessary sensitive data in free-text fields.

International processing, children, and updates

Service providers may process data in the United States and other locations subject to their contractual safeguards. EQS-AI is intended for business users and is not directed to children. Material changes to this notice will be posted here with an updated effective date.
